Automate office processes: from the bottleneck to a sensible AI pilot
Automation is particularly worthwhile for recurring tasks with clear inputs and a verifiable result. Start with a limited workflow before switching multiple systems or departments at the same time.

Which task is suitable for starting?
Look for a workflow that occurs frequently and causes unnecessary transferring, searching, or follow-up questions today. Examples include assigning a request to a topic, creating a follow-up task, or providing pre-approved documents. Note input, processing, exceptions, and the result. An unclear process doesn’t automatically become understandable just by adding more software. The later users should also help define the requirements.
Does every automation need AI?
No. If rules are clear, a classic interface can be more reliable and easier to validate. AI can help with different phrasings, searching in approved knowledge, or drafting responses. For payment approvals, binding commitments, and other high-impact decisions, you need an explicitly planned validation path. The scope of automated processing depends on the specific risk and the quality of the data.
What could a support workflow look like?
A request is assigned to a topic. The responsible employee receives customer context and the appropriate documents; an AI can prepare a draft response. The person checks the source and the statement before sending. If information is missing, a follow-up question is created instead of an invented answer. This is a planning example, not a claimed customer result. Whether the workflow fits is shown by a test with typical and difficult cases.
When is AI phone calling useful?
A phone assistant can capture recurring concerns and callback requests if the call script, available information, and handover process are clearly defined. Calendar or CRM access requires suitable integrations. The solution also needs a path for unclear requests, outages, and the desire to speak with a human. Before going live, transparency, required data, and how it is processed are aligned for the specific solution.
How are effort and costs narrowed down?
Consider setup, data preparation, integrations, testing, training, and ongoing operations. With AI and phone calling, usage-based fees may also apply. Compare them with today’s effort and the quality of the result—not with a generally promised savings. In the pilot, frequency, processing time, need for corrections, and error cases are observed. Only then is decided whether an extension is worthwhile.
What does Dreamseven handle?
We identify the bottleneck, check approved interfaces, and scope the pilot. Data migration, setup, and onboarding are included in the agreed scope if desired. Existing systems are included if access and technical possibilities fit. You get clear responsibilities and an aligned next step. For the start, a description of today’s task and the involved applications are sufficient.
